Configuring Close Actions

An Action can be configured for closure of the record. For example, some workflows may automatically close upon submission if, for example, a field value prompts for no further work to be needed in the record. Also, on exit of a particular Phase the record could be prompted to close as well based on an action within the phase, for example, to determine if the record can be closed by a user assigned decision. Close Actions can be configured for the following tools:

  1. From the Administrator Tools tab on the SmartSolve Portal Page, click Designer > Workflow Designer.
  2. Create a new workflow or open an existing workflow.
  3. On the design canvas, left click to highlight the Initiating Form, Action Phase, or Phase object.

  1. Click the On Submission or On Exit tab in the Properties panel.
    Result: The Validation Rules/Actions window is displayed.
  2. Click the Add Action drop down button and select the Close action option.
    Result: The Action window is displayed.

  1. Enter the information in the following fields:
    2. Field Definition

    Name

    Enter the name of the action (for example, Close Case).

    Rule

    Associate a rule with the action, an example of which would be, if the action needs to be executed conditionally based on the result of the rule.

    Entity Phase

    Enter the value to set the workflow phase to as a result of the action.

    Entity Status

    Enter the value to set the workflow status to as a result of the action.

    Successful Message

    Enter the message to display to the end user upon successful completion of the action.
  2. Click the OK button to save the action.
